Tree Supplier for The Town of Greenwich

The Town of Greenwich Purchasing Department, on behalf of the Department of Parks and Recreation, is seeking bids for the purchase and delivery of trees, as per the Specifications of this Request for Bid (RFB).

The intent of this RFB is to establish fixed pricing for the 2027 planting season with one or more Tree Supplier, who will upon request provide the Town with the products and supplies described in this RFB. All items and approximate quantities are listed on the Reply Sheets.

All items must be returnable if determined unsuitable by the Town. The Town's minimum order quantity per load to one site will be twenty (20) trees. Therefore, all bid pricing must be honored and held firm for all Town orders in the amount of twenty (20) trees and greater.

• The Bidder shall provide vigorous, healthy trees that can be easily trained into attractive trees with structurally strong roots and crowns.
• The Bidder shall provide trees that are certified to be locally grown (field grown) within 300 miles from Greenwich, CT.
• The Bidder shall provide trees that are certified to be pest and disease-free as required by the Connecticut Department of Agriculture.
• The Bidder shall provide trees that have been properly maintained and handled after digging and during shipping to avoid unnecessary damage.
• The Bidder shall ship all trees to the Town in open trucks covered with protective, breathable tarpaulins to prevent desiccation.
• All trees provided by the Bidder shall be true to type or name as ordered or shown on the plans and shall be individually tagged by species and cultivar (variety).
• Shipping terms shall be FOB Destination, Freight Prepaid and Allowed. [...] Trees denied acceptance will be returned to the awarded Bidder without charge.
• The Town will off-load the trees when they arrive in Greenwich.
• All deliveries of trees must be made to the Town within seven (7) days from receipt of an order by the Town.

To qualify as a Tree Supplier for the Town, the Bidder shall provide bid prices for all ten (10) trees on Reply Sheet Page 1. The Bidder may provide unit prices for each tree on the Town's Reply Sheets, Pages 2 through 8. The Town reserves the right to purchase more or less than the approximate quantities. The Town is planning to award multiple Bidders.

To qualify as a possible Tree Supplier for the Town, the Bidder must also provide bid prices for at least 15 genera of the 31 genera listed on Reply Sheets, Pages 2 through 8.

Submission method:** Bids shall be delivered via USPS or commercial delivery service (UPS, FedEx etc.) to the Town of Greenwich Purchasing Department, First Floor, Town Hall, 101 Field Point Road, Greenwich, CT 06830 by **11:00 AM on Thursday, November 12, 2026**. The Purchasing Department is accepting hand-delivered bids. **BIDS/PROPOSALS ARE NOT ACCEPTED BY FAX OR E-MAIL.

The Reply Sheets must be completed and returned with the bid in a sealed envelope. Please clearly indicate RFB #7975 on the lower left-hand corner of the envelope. Bidders shall submit one (1) original and one (1) copy of the sealed bid.

Bids will remain in effect for a minimum of ninety (90) days from the deadline for submission of the bid.

The Town of Greenwich shall make payment net thirty (30) days of receipt of invoice, submittal of documentation, and acceptance of the products and/or services.

Bidders shall also indicate if there may be increases or decreases in pricing for the two (2) optional years of the Commodity Award.

Addenda will be posted to the Town's website (www.greenwichct.gov/bids) up to 48 hours in advance of the deadline. It is the responsibility of the Bidder to check the Town's website for addenda, the Town will not provide notification.
