Athletics Digital Platform and Website Solution

Eastern Kentucky University is seeking proposals from a qualified, financially sound vendor for an Athletics digital platform and website solution.

Eastern Kentucky University (EKU), on behalf of EKU Athletics, seeks proposals from qualified firms to provide a fully hosted official athletics digital platform: website, mobile apps, live statistics, fan engagement and revenue tools, for a term beginning July 1, 2027.

Scope of Services: Requirements

Proposers must provide every item in this section within the base annual fee. Describe how each requirement is met and note any item that is not.

Website and content management

• Custom design built to EKU brand standards, delivered at launch, plus one full redesign during the initial term at no added cost.
• Mobile-first responsive design; Core Web Vitals in the "good" range on mobile for home, schedule, roster and story pages.
• College-athletics CMS with unlimited admin users, role-based permissions, scheduling, version history and content approval.
• Migration of all existing content, statistics, archives and URLs, with 301 redirects so no search ranking is lost.

Mobile apps (iOS and Android)

• Branded native apps published under EKU's developer accounts, sharing content with the site.
• Live scores, schedules, rosters, news, video, mobile tickets and push notifications segmented by sport.
• Fan rewards / loyalty program (points for attendance, purchases, check-ins) with redemption reporting.

Live statistics

• Live stats for every sport that supports them, embedded on site and app, compatible with NCAA stat software (e.g., StatCrew, PrestoStats) and the UAC's stat requirements.
• Automatic posting of box scores and season stats to sport pages.

Revenue tools

• Online auctions, payment forms (camps, clinics, events, donations) and a camps registration platform.
• Ad server and sponsorship placements across site and app, managed by EKU or its designee with no mandatory third-party ad-ops vendor.

Integrations

• Ticketing system integration (ETIX), including account login and mobile ticket access in the app.
• Donor/Colonel Club giving pages and payment integration.
• Open API or scheduled data export of all content, statistics and fan data.

Training and onboarding

• Onsite or live virtual training for communications, marketing and ticketing staff before launch, plus recorded training and a knowledge base.
• A named account manager and a named project manager through launch.

The new platform/website must be live no later than **July 1, 2027**.

Submission

Proposals must follow this order and be submitted electronically to EKU Procurement by the due date. Late proposals will not be considered. To bid on any EKU solicitation event you need to create an account in the **Jaggaer** eProcurement system. The pricing form must be uploaded in the Jaggaer solicitation portal.

Contract Term

The Contract resulting from this RFP and the Successful Offeror's Proposal shall have an initial term from July 1, 2027 through June 30, 2030. The Contract shall be renewable for up to four (4) consecutive one (1) year renewal periods. The total contract period will not exceed seven (7) years, subject to KRS 45A.145.

Proposal validity

Your proposal must remain valid for six (6) months after the due date of this RFP.

Pricing

Prices must be all-inclusive. There should be no hidden fees. Annual increases in option years may not exceed 3%. The University's standard payment terms are Net 30.

EKU will weigh net value to the department (revenue to EKU minus total fees), not fee alone.
