2026 Ford F-350 Squad Upfitting

It is the intent of this competitive sealed bid to secure a contract for the upfitting of one (1) 2026 Ford F-350 Squad Truck for the City of Stephenville Fire Department. Bidders shall submit bids based upon the specifications herein.

The City of Stephenville intends to award this bid based on the overall best value for the city in accordance with Local Government Code 252.043 and the criteria set forth in this solicitation.

The awarded bidder shall furnish all labor, equipment, materials, and other items necessary to perform the upfit of one (1) Ford F-350 squad truck. Specifications for this truck can be found in *Attachment A: Ford F-350 Specifications*.

The City of Stephenville shall provide the vehicle for upfitting. All shipping and transportation costs, material costs, labor costs, and any other applicable costs shall be included in the bid price. The bid price shall be considered all-inclusive.

The bidder shall state their turnaround time in calendar days on the attached *Bid Return Form*.

The awarded bidder shall:

• Coordinate vehicle drop-off and pickup with the City's designated representative.
• Complete an intake inspection, including photographs of the vehicle as received, including any existing damage.
• Confirm compatibility and disclose any unforeseen vehicle-specific issues before performing additional work.
• Obtain written approval from the City's designated representative of the equipment layout before installation.
• Notify the City's designated representative promptly of anticipated delays.
• Return the vehicle in a clean condition, with all removed parts accounted for and all required equipment operational.

This upfitting shall include the following, at minimum. [...] The awarded bidder shall furnish and install all graphics, striping, and reflective markings specified in this section. [...] Bidder shall include a workmanship warranty with a minimum length of three (3) years.

**Bids must be submitted by mail** to Meritt Kearney, Purchasing Manager, 298 W. Washington St., Stephenville, Texas 76401, until **2:00 pm, November 12th, 2026**. Any bid received after stated closing time will be returned unopened.

All bids must be submitted on original bid forms. All packaging on bids (including courier envelope) will be submitted sealed and plainly marked with the name and address of bidder, 2026 Ford F-350 Squad Upfitting, and bid number 3365.

Bids shall be held firm for a period of 60 days unless otherwise stated in the bid specifications, instructions to bidders, or on the bid sheet.

This bid will be awarded based on the overall best value for the City of Stephenville in accordance with Local Government Code 252.043. It is not the policy of the City of Stephenville to award a bid based upon price alone.

This contract shall be for the upfitting of one (1) vehicle only, as specified above. The parties agree that the City may cancel and terminate this contract, without cause, upon thirty (30) days written notice to contractor.
