24-021 (23) Student Activities and Fundraising

The San Antonio Independent School District is seeking qualified vendors that provide goods and or services related to “Student Activities and Fundraising”.

The San Antonio Independent School District (SAISD) requests interested parties to submit proposals for "RFP 24-021 Student Activities & Fundraising Services". This award is contingent upon funding and no guarantee of a minimum amount of work is implied or expressed by this Request for Proposal. Services required shall be determined solely by the needs of the district.

Responses are to include the information requested in this questionnaire in the sequence and format prescribed. [...] All questions must be answered, those that are not applicable insert N/A.

Fundraiser Questionnaire A - E

• General Information: company name, main address, main phone number, and website address; the name of the system being proposed and version if applicable; and contact persons for the solicitation, for negotiating terms and conditions, and for the representative to the District if awarded a contract.
• Experience of the Company: How many years has the company provided an online donation fundraiser system?
• Company Assurances: Provide a thorough understanding of the company's assurance that funds raised are protected against fraud, misappropriation, loss, etc. Is the company bonded with a minimum of **$100,000** dedicated to San Antonio ISD to protect against fraud, misappropriation, loss, etc.?
• Current Clients: Include a list of a minimum of five (5) Texas school district clients for contracts active or completed since January 1, 2020. [...] Other than Texas school districts, include a list of a maximum of five (5) major clients for contracts active or completed since January 1, 2020.
• Fee Structure and Incentives: Provide a thorough explanation of how the company charges for the fundraising services and the percentage of fee(s) to be charged. NOTE: Vendor fee, including all expenses and/or potential prices, shall not exceed **25%** per fundraiser. Provide a thorough explanation of how chargebacks are handled. Provide a thorough description of any prize-based incentives that may be offered.

**Submission method:** Proposals and all required documents must be uploaded to the Bonfire Portal https://saisd.bonfirehub.com/portal submitted, and finalized prior to the Closing Time. Vendor submittals must be uploaded as separate, signed .pdf files.

**Vendor questions:** No questions allowed for this request.

**Contract term:** The contract shall be valid until June 30, 2030. Vendors will need to re-apply if there is no activity within 2 consecutive years of the approved term.

**Insurance:** Reference SAISD General Terms and Conditions, Item #60 for Insurance Requirements.

This Proposal is a firm offer that shall be irrevocable and valid for **120 calendar days** from the opening date.

The District will award a contract based upon best value as determined by a combination of price and the above stated evaluation factors.

Performance & Payment Bonds or an Irrevocable Letter of Credit are required on contracts for **$25,000.00** or more.
