Heavy Equipment Services & Repair

The City of Conroe is soliciting for Heavy Equipment Services & Repair. RFP # 1105-2026: Heavy Equipment Services & Repair - **Thursday, November 5, 2026 at 1:00 pm** through OpenGov Procurement.

The City of Conroe, TX is seeking qualified vendors to provide comprehensive heavy equipment services and repair. The selected vendor(s) will be responsible for the maintenance, repair, and servicing of various types of heavy equipment owned by the City. This includes, but is not limited to, backhoes, bulldozers, excavators, graders, loaders, and other specialized machinery.

The vendor shall provide services that meet or exceed the following specifications:

Repair Services

• Diagnose and repair mechanical, electrical, and hydraulic issues.
• Replace or repair engines, transmissions, and other major components.
• Perform welding and fabrication as needed.
• Repair or replace damaged body parts and panels.
• Ensure all repairs meet OEM (Original Equipment Manufacturer) standards.

Emergency Services

• Respond to emergency repair requests within 24 hours.
• Ensure availability of critical spare parts to minimize downtime.

Standards and Compliance

• All services must comply with OSHA (Occupational Safety and Health Administration) standards.
• Adhere to EPA (Environmental Protection Agency) regulations regarding disposal of hazardous materials.
• Technicians must be certified and trained in accordance with industry standards.
• Maintain detailed records of all maintenance and repair activities.

Parts and Materials

• Use OEM parts or equivalent quality aftermarket parts.
• Maintain an inventory of commonly used parts to expedite repairs.

Reporting and Documentation

• Provide detailed reports of all maintenance and repair activities.
• Maintain a log of all services performed, including dates, parts used, and technician notes.
• Submit monthly summary reports to the City of Conroe, TX.

Delivery Requirements

• Provide a minimum of 48 hours' notice for scheduled services.
• Complete minor repairs within 48 hours of diagnosis.
• Provide an estimated completion time for major repairs and adhere to the agreed timeline.

Submit electronically through the OpenGov Procurement Portal. Proposals not delivered by this time will not be accepted.

The Contractor MUST submit COMPLETED BID PACKET to qualify as an acceptable bid.

The award will be based on Best Value to the City.

NO BID WILL BE CONSIDERED FOR AWARD IF THE VENDOR HAS NOT SUBMITTED AN INSURANCE FORM ALONG WITH THE BID

Maintain general liability insurance with a minimum coverage of **$1,000,000** per occurrence. Provide workers' compensation insurance as required by law. Submit proof of insurance with the proposal.

One (1) year term with an option to renew annually for up to four (4) additional years, based on performance and funding availability.

Bids will be publicly opened and read on Thursday, November 5, 2026, at 1:00 p.m. at the Conroe Municipal Center building in the Construction meeting room located at 700 Metcalf St., Conroe, Tx 77301.
