Utica Community Schools is seeking proposals for the provision of Computer Repair Services (B-2455-26).

• Dell Certified vendor preferred.
• Provide a written process from start to finish for the Dell Laptop repair. Start from the initial notification of the repair to the return of the Dell Laptop to the district.
• Provide the estimated turn-around time.
• Warranty length for repair
• Provide pick-up/delivery costs if not included in price.

Estimated Number of Repair

The number of laptops sent in for repair on a weekly basis, during the school year, is approximately 45-3340, 3450 and Pro 14. Fewer laptops require repair during the summer months of July and August.

The 3310 2-in-1, 3330 2-in-1, 3340 2-in-1, 7420 2-in-1 and Pro 16 Plus breakage is limited with approximately 50 devices per year requiring repair.

Many laptops are covered under Dell Accidental Damage Protection. If a processing fee is required to submit those laptops to Dell for us, please include that fee.

The most common laptop repair is touchscreen replacement.

Bids must be submitted online to the portal no later than **9:30 a.m., November 19, 2026**. Submissions through the portal will be the only accepted method to submit proposals for this project. Proposals will be electronically sealed until the stated Due Date and Time after which they will be publicly unsealed and read aloud via video conference.

All Contractors submitting Proposals must provide a **required** sworn and notarized statement disclosing any familial relationship that exists between the owner or key employee of the Bidder submitting a Proposal and any member of the Utica Community School District Board of Education or the Utica Community School District Superintendent. All Contractors submitting Proposals must provide a sworn and notarized Affidavit of Compliance pursuant to the Iran Economic Sanctions Act, Michigan Public Act No.517 of 2012.

Pricing shall remain firm from January 1, 2027, through December 31, 2027, with the option to extend the agreement for up to three additional one-year periods upon mutual agreement of the parties.

Price will not be the only factor considered in awarding this bid. Other factors to be considered, but not limited to, are the reliability of the bidder, quality of the supplies and service, conformity with the specification, satisfaction of delivery requirements and minimum delivery requirements.

Commercial General Liability Insurance with limits of liability no less than one-million dollars ($1,000,000.00) per occurrence and/or aggregate combined single limit. Motor Vehicle Liability Insurance with limits of liability of not less than one-million dollars ($1,000,000.00) per occurrence combined single limit. Worker's Compensation Insurance, including Employer's Liability Coverage, is also required.
