The County of Bergen desires to establish an initial Twenty Four (24) month contract - with one (1) 12-month renewal option - for multiple catalog vendors for the provision of goods and/or services described elsewhere herein.
The County has determined that multiple contracts are in the best interest of the County since it anticipated that no single vendor can meet the various needs, in type and quantity, of the using agencies. The County does not guarantee a minimum purchase with any single vendor or an amount under the contract.
The County of Bergen, acting as the Lead Agency, manages a Voluntary Cooperative Pricing System membership with various municipalities, quasi- municipal agencies, public and regional school districts and quasi-county agencies.
The vendor must be an official distributor for any catalog offered. Documentation of this fact must be uploaded with the bid for each manufacturer accordingly. The County will not accept a catalog where the distributorship rights to that catalog are those of a third party.
Catalogs must clearly identify the product name, specifications, packaging information, etc. Prices must be listed in each catalog or in an accompanying price list, and the term "catalog" used herein includes the price list, if one is used.
In addition to the catalog submittal; the vendor is required to provide a list of Factory Certified Installers the products they offer. The installers are required to be Certified Playground Safety Inspectors (CPSI) as certified by the National Recreation and Park Association's National Playground Safety Institute. Copies of certificates are **required** to be submitted with the bid.
Vendors can include website links for manufacturers. They must also provide electronic price-sheets as well. Hard copy of catalogs if Using agency requests it.
Orders shall be honored with the issuance of Purchase Order only. There shall be no minimum orders. The vendor will be paid catalog price, less discount, for each item purchased.
**Delivery and Installation:** On Bid Form/Price-Sheet provided the NJCPA requests a % markup for installation labor. This shall be calculated as the % markup over the cost of the total equipment order placed after the discounts have been applied.
**Freight:** Awarded contractors may charge freight as a pass-through item. No other additional mark-ups on freight will be allowed during the term of this contract.
**Awards:** Bid awards will be evaluated based on a vendor's responsiveness to the requirements set forth in these bid specifications, as well as the pricing and discounts made available in the categories requested. Awards will be made by category, manufacturer, and overall quality.
**Term:** The term of this contract will be for (2) two years with extensions as permitted by law upon mutual agreement between the NJCPA and the Contractor(s).
The following - Bid Form Workbook Pages - must be completed, dated and uploaded with your submission. Failure to do so may render your bid non-responsive.
The *Statement of Ownership Disclosure* must be completed, certified to, and included with all bid and proposal submissions. Failure to submit the required information is cause for automatic rejection of the bid or proposal.
The NJCPA fee is **1%**, payable by check to COUNTY OF BERGEN.
