Computer Technology and Related Solutions

HGACBuy is soliciting responses for Computer Technology Products and Services with Related Solutions to establish comprehensive cooperative purchasing contracts that provide solutions for our members that:

• Modernize Information Technology (IT) infrastructure with current-generation hardware, software, cloud platforms, and integrated solutions;
• Support sustainability and environmental responsibility through responsible IT asset lifecycle management, electronics waste (e-waste) recycling, secure data destruction, and environmental, social and governance (ESG) reporting.

Category 1: Technology Products and Integrated Solutions

Hardware, software, and related services including but not limited to:

• Computing devices (desktops, laptops, tablets, servers, storage)
• Networking and connectivity equipment
• Audio-visual and collaboration technology
• Peripherals, accessories, and components
• Software licensing and subscriptions (to include SaaS)
• Configuration, installation, integration, and support services
• Training and professional services related to product implementation*

*The only allowable training or professional services that can be provided on this contract must be in conjunction with or in support of the technology or software acquisition.

Category 2: IT Asset Lifecycle Management

Complete asset lifecycle services including but not limited to:

• Asset Management: Hardware and software inventory, tracking, license optimization, compliance, and Information Technology Asset Management (ITAM) program development
• IT Equipment/Systems Acquisition: Planning, configuration, staging, deployment, and logistics
• Maintenance and Support: Warranty management, repair services, upgrades, and preventive maintenance
• Decommissioning: Data center shutdown, de-racking, secure data destruction, and site restoration
• Asset Disposition: Secure data destruction, remarketing, recycling, value recovery, and ESG reporting

This solicitation does not include products or services currently available under any existing HGACBuy contract, including AI05-26, EP10-24, OM03-21, RP07-20, and TS06-25.

Final Contract Deliverables

Contractor agrees to submit written quarterly reports to H-GAC detailing all transactions during the previous three (3) month period. Reports must be provided to H-GAC in Excel or other acceptable electronic format by the 30th day of the month following the quarter being reported.

RESPONSES MUST BE SUBMITTED ELECTRONICALLY TO: https://procurement.opengov.com/portal/h-gac

Submissions must be in PDF or Excel format ONLY where indicated and uploaded to the designated section. Additionally, zip files are not allowed. All responses and required documents must be submitted via the OpenGov system before the deadline. The system will close automatically at the specified time, and late or incomplete submissions will not be accepted.

Telephone/email inquiries are not accepted. Questions and answers will be posted as soon as available.

Other requirements

Any awarded contractor must be approved by the manufacturer to sell, install, and service the brand of equipment submitted. Respondents to this solicitation must submit an approval letter from each manufacturer. For all completed transactions under an awarded contract, Supplier will pay a 2% Administrative Fee directly to H-GAC.
