The intent of this Request for Quotes (RFQ) is to solicit quotes from qualified vendors with experience working with school districts to secure Fort Smith Public Schools - Truck Loads of Paper - November 2026.

Fort Smith Public School District is seeking a reliable supplier to provide (2) truck loads of paper for the district's administrative buildings and schools. This contract is for a one-time purchase to be delivered in November or December 2026. The objective is to procure high-quality paper that meets the district's specifications and requirements.

The paper must meet the following specifications:

• Size: Letter size (8.5x11 inches)
• Weight: 20 pounds
• Brightness: Minimum 92 brightness
• Color: Bright white
• Finish: Smooth
• Acid-free: Yes
• Ream Packaging: Must be packaged in reams of 500 sheets each
• Pallet Packaging: Must be shrink-wrapped on wooden pallet
• Ream count: 8,400
• Pallet count: 21

The paper must comply with the following relevant standards:

• ISO 9706:2019 - Paper for documents - Requirements for permanence
• ISO 14001:2015 - Environmental management systems - Requirements with guidance for use

The supplier must adhere to the following service requirements:

• Provide a price quote by solicitation deadline
• Ensure the paper is sourced from sustainable forestry practices
• Deliver the paper to the designated delivery location as specified by the Fort Smith School District: Fort Smith Public Schools - 3205 Jenny Lind Road - Building "F" - Fort Smith, AR 72901
• Coordinate the delivery date and time with the district's purchasing department - see point of contact
• Provide adequate packaging to protect the paper during transit
• Offer a guarantee against any damage or defects in the paper
• Provide a contact person for any inquiries or issues related to the delivery and the quality of the paper

The supplier must fulfill the following delivery requirements:

The district will also consider factors such as price, quality, and past performance in the evaluation and selection process. The successful supplier will be awarded a purchase order for the one-time purchase of (2) truckload of paper for the Fort Smith School District's administrative buildings and schools.
