27-005P Purchase of Large Equipment for School Nutrition Program

The Muscogee County School District (MCSD) is soliciting sealed bids for the purchase and installation of large equipment for the School Nutrition Program. Bid terms, conditions, specifications, and price quote sheets are contained herein.

It is the purpose and intent of this Invitation to Bid (ITB) to secure the purchase and installation of large equipment for the School Nutrition Program on an as-needed basis herein for the Muscogee County School District (MCSD or the Board).

Please see Appendix A pages 30-56 for the specifications.

Prices

Unit and total prices quoted shall include all charges but not limited to, purchasing, packing, delivery, and installation of the equipment to the destination(s) listed on the Purchase Order.

Delivery

Awarded vendor must deliver using their own truck or the manufacturers truck accompanied by a vendor employee with no third party delivery allowed. Delivery of all materials from this quotation shall be FOB destination to the address specified on the purchase order.

Successful vendor shall liaison with the School Nutrition Program to schedule deliveries, installations, and where necessary, removal of old equipment. Vendor shall conduct an on-site inspection within forty-eight (48) hours of receiving a request to verify the designated installation site has adequate space and the required utilities to accommodate the equipment prior to ordering the equipment. [...] The vendor shall install the new unit on the same day.

Installation

Awarded vendor must provide a turnkey installation including delivery, uncrating, setting in place, connecting to utilites, removal of debris, removal of old equipment, and making ready for operation. Installation includes the complete installation of electrical lines, water lines, gas lines, and drain lines within four (4) feet of the equipment. The installation shall include disconnecting and complete hook-up of the new unit and the vendor shall make all final connections.

Fixed Assets

The vendor must sign the MCSD Fixed Asset Transfer Form before removing old equipment from the premises.

Orders

Each job or delivery shall be initiated by a purchase order specifying the location and the work to be performed. No work or delivery should be performed without an authorized purchase order number.

Responses are due November 17, 2026 (**2:00 pm EST**). Bids received after the stated due date and time will not be accepted.

Evaluation

Price alone will not be the sole base in the award of this bid but will be the primary factor. Bids shall be firm for at least 60 days after bid opening.

Contract period

The contract period shall cover the period January 1, 2027 through December 31, 2027. [...] The Board may renew the contract in one-year increments, not to exceed a total of three years.

Bond

There will not be a bond required for this solicitation.

Insurance

The successful bidder shall supply to the school district proof of insurance for automobiles, workers' compensation, and general liability. [...] Muscogee County School District must be shown as Additional Insured with respect to liability.
